INTRODUCE AND WELCOME GUESTS & NEW SENATORS Margot Lovett introduced herself and noted that she was subbing for Heidi Ochoa. No new senators or guests were present. ADOPTION OF AGENDA Jodi Caggiano moved to adopt the agenda with the flexibility to move items to accommodate guests. Dan Walsh seconded. The Academic Senate unanimously approved the adoption of the agenda. ADOPTION OF MINUTES FROM February 1, 2023. Dan Walsh moved to adopt the minutes from the previous meeting. Deidre Cavazzi seconded. The Academic Senate unanimously approved the adoption of the minutes.  PUBLIC COMMENTS Michelle Duffy clarified that the announcement made during the AS forum was not accurate. No Academic Senate minutes had been changed nor had statements removed from them as the speaker had stated. She also clarified that Academic Senate meeting minutes come before Academic Senate for approval at the following meeting. Therefore, if a discrepancy was found or pertinent information was not included, that should have been addressed before the minutes were approved. ASG representative, Emiliya Tabatabai, shared that ASG is putting together earthquake kits for the people of Turkey and Syria. Barsen Global Logistics in Long Beach is accepting donations. Blankets, sleeping bags, and tents are needed. Steve Rosa, an Academic Senate representative who lives in Long Beach offered to drop off donations. Erica Vogel shared that on March 9th the Fine Arts and Social and Behavioral Sciences Divisions will be cohosting an event. A Public Arts workgroup wants to put a mural on the outside of BGS. Jane Kim of Ink Dwell Studio will be presenting her work from 10:30-11:45am in BGS 144. The MSE Division was asked how to get students to come back to campus and the answer was food. What happened to our Food and Beverage committee? Where are the food and beverage carts? Can we bring the committee back? Margot Lovett responded that this concern needs to be directed to Art since he meets with the VP of Instruction. This is not AS purview. Wonderful Nancy Allah shared that there was a workshop last Saturday for people who need help with student loan forgiveness. Mike Engels shared that there will be a Warrior Scholar workshop on Feb 21 from 9:30-3:30 in ATAS 144; The success workshop will be facilitated by a Warrior Scholar vet. PRESIDENTS REPORT Margot Lovett informed senators of the following: Next AS meeting, two presentations: (1) Tram will present next steps for the re-org; if you have specific questions please use the inquiry form emailed last week and (2) Jenny McCue will be fielding questions about the new website and marketing Working with Dean DArcy and the Grants Office, an application for a grant titled Saddleback Equity Allies: Student Success through Allyship and Equity-minded Syllabi. If received, faculty will receive compensation for going through training. Working on revising and standardizing the AS coordinator and chair positions; they will be posted on SharePoint; Honors Chair and Teaching Innovations Coordinator positions are open for Fall 2023; Both positions are 12 LHE of reassigned time and applications are on SharePoint due March 15th Funding for professional development available through the Perkins Grant if related to Career Education CONSTITUENCY GROUP REPORTS Faculty Association Jenny Langrell shared that negotiations are ongoing. Student Government The ASG representative, Emiliya Tabatabai, shared that ASG did a Valentines Day surprise and presented students across campus with small gifts. They also celebrated Persian New Year, have a blood drive coming up, and are in the process of creating an ASG TikTok account, and they are supporting vets who are transferring. Classified Staff None. ADOPTION OF CONSENT CALENDAR ITEMS Curriculum None at this time. OLD BUSINESS A. Approval of Faculty to sit on Committees Dan Walsh motioned to approve Faculty to sit on Committees. Anwar Hijaz seconded. The Academic Senate voted unanimously to approve Faculty to sit on Committees. Board Policies/Administrative Regulations Dan Walsh shared that changes to the following four BP/ARs were grammar based and required legal changes: AR 4230 Grade Point Average and Academic Record- Jonathan Luque asked about the EW; not a grading issue- its a student services issue BP 4250 Probation, Dismissal, and Readmissions AR 5030 Student Fees BP/AR 5500 Enrollment Priorities AR 4232 Pass/No Pass- a change was made to the pass/no pass deadline during COVID which extended it to the last day of the semester, but we no longer have to go to the end of the semester. This AR is coming forward to make the change permanent. As faculty we need to have this discussion of whether or not we want to support this or recommend that the timeframe be revised. Discussion ensued. Senators were asked to take this back to their divisions. Curriculum Update Michelle Duffy shared that scheduled review lists will be published in SharePoint by March 1st with course reviews due to be launched in META by April 30th. Also, the Curriculum website is being revamped and updated. Information pertinent to faculty is available in SharePoint. Next AS meeting, a list of META trainings for scheduled review will be presented. D.E.I.A.A. Update Tabled. D.E.I.A.A. Interview Recommendations Margot Lovett asked if any senators have any recommendations from their divisions about the interview questions or the process. Erica Vogel shared that her division said the questions seemed a bit challenging. Could the questions be given in advance? Margot responded that in some instances there are questions that should not be given in advance. Maybe some questions should be sent out. Anwar Hijaz asked if there a form that lists the process for those who are new a committee? Dan Walsh responded that AR 7123 spells out the policy and how HR reps handle the process could vary slightly. Do not be afraid to ask questions. Steve Rosa shared that in-person vs Zoom interviews in terms of accessibility is an important issue and should be addressed in the AR. Bill Alston suggested that the equity questions could be given in advance, but the discipline questions should be in person. Erica Vogel asked if senators could review what the application process looks like so we can identify potential issues/barriers. IDEAA Moment: Black History is American History Margot Lovett shared that there is a TED Talk given by a high school student highlighting the African American student experience. Please what the TED Talk and consider ways to integrate the African American experience into your curriculum. Academic Calendar 2024-2025 Jenny Langrell showed the joint draft calendars. Our Calendar Committee voted for Version 1. Dan Walsh motioned to support the Calendar Committees selection of Version 1. Jodi Caggiano seconded. The Academic Senate voted unanimously to support the Calendar Committees selection of Version 1 Legislation Update Tabled. Banner Update Chris McDonald presented the Why for the move to Banner. Banner is the best alternative for Workday and our homegrown systems. In addition, it will save the colleges money. This is an integrated system which is an out of the box solution which is configurable to our needs. Banner replaces WorkDay, MySite, IMS, MAP, EIS, and InForm. Steve Rosa asked about security. Chris responded that breaches are not typically a Banner issue. They could be through lack of encryption, cloning of emails etc the ERP is not typically how hackers get in. Mike Engels asked about the timeline for rollout. Go live is March/April of 2025 for students to register for fall. Focus is on Counseling faculty first and then training of other faculty. The support staff for Banner will be around for a year after go live to help with configuration. NEW BUSINESS A. Compressed Calendar Chris McDonald shared that he has been tasked to do an assessment of the 16-week calendar. The workgroup has walked through the requirements and will be developing a survey to determine interest and concerns. The first survey should go out March/April of this year. For some faculty, a move like this will take looking at extra duty days. The task force will do a roadshow to share findings with faculty and revisit interest/desire. Then they will be working with a consultant and it will most likely be a two-year job if we decide to go forward. The earliest this could come to fruition is fall 2026. Academic Senate Coordinator Positions & Calls for Interests- Deadline March 15th Margot Lovett discussed in Presidents report. Outdoor Classroom Spaces Christina Hinkle shared a document called Outdoor Learning Spaces that presented the goal of identifying current outside spaces for classes, structured learning groups, casual study groups and engagement groups to collaborate. The spaces should be easy to reserve (Master Calendar request), wi-fi, and incorporate student opportunities for planning. She shared potential sites. Basic needs were graphed for all spaces. Next step is to develop a plan with IT and FMO. Handouts linked in agenda. Senators were asked to share these with their divisions. Accreditation Report Draft for Review and Feedback Claire Cesareo shared the draft which was presented at the Town Hall meeting. It needs to be sent out August of this year. The draft is posted in SharePoint and feedback is requested by the end of February. The feedback will be used to write the next draft. You do not need to read all of the document. Please just review sections that are pertinent to your area(s). PowerPoint is available in SharePoint and links to the draft and for giving feedback where linked in the agenda. COMMITTEE REPORTS Executive Deidre Cavazzi shared that Exec is investigating the cost of the Understanding Academic Freedom book- who would be interested in getting the book and/or joining a book group for discussions?
